Cancellation/No Show Policy

COVID-19 Statement:

We take our visitor’s and our own safety seriously. As a result, at Hot Pot Pottery we follow Government and Leisure Industry advice closely and are registered with Visit England’s ‘Good to Go’ and The World Travel & Tourism Council’s ‘Safe Travels’ Schemes to keep Covid-19 risks as low as possible and encourage responsible behaviour on-site and in relation to bookings.

Covid-19 Related Cancellation Policy (updated 26 July 2021)

Due to the changing Covid-19 situation we have updated our Covid-19 Cancellation Policy.

If you have to cancel or re-book dates with us at the last minute within our regular cancellation notice period & your cancellation relates to Covid-19 symptoms/positive test results, Track & Trace Isolation requirements or lockdown travel rules & restrictions which make it illegal for you to attend we will waive our Regular Cancellation/No Show Policy (as stated below) & apply our Covid-19 Cancellation Policy as follows.

Pottery Trial Classes/Pottery Painting/One Day Throwing Workshops

If you have paid in advance will retain from your refund any out of pocket expenses we have incurred such as ingredients purchased plus a £5 per person cancellation fee for Pottery Trial Classes, £15 per person for Throwing Workshops & £5 per person for Pottery Painting. If you were due to pay us on the day we will seek payment to us as stated.

Longer Pottery Classes

We already offer time on our Pottery Trial Classes to make up time if you miss a week so this would also apply for missed time due to Covid. If a lockdown forces the course to cease we would either offer a refund for cancelled days or re-start after it was over (whichever was appropriate for those on the course).

Private Parties/Celebrations/Corporate Events

If you have paid in advance we will retain 10% of the total booking plus any out of pocket expenses such as ingredients & refund you the rest. If you were due to pay us on the day we will seek payment to us as stated.

This more lenient Covid-19 Cancellation Policy is offered in good faith to encourage responsible behaviour but also to ensure we are not out of pocket and have some recompense for lost income.

If WE have to cancel your booking for any of the same stated Covid related reasons which make it illegal for us to run activities &/or provide food then we will offer a refund of any monies paid or offer future dates.

In ALL other cases of cancellation/reduction in numbers/no show on the day our usual Cancellation/No Show policy will apply as stated below.

Regular Cancellation/No Show Policy

At Hot Pot Pottery generally we believe most people behave thoughtfully and understand that last minute cancellations/reductions in numbers/no shows mean inconvenience, wasted preparation time/resources, can incur costs and/or lost alternative revenue for the business involved.

However, we do have a Cancellation/’No show’ policy which is designed to protect us from those who do decide to cancel or reduce numbers at the last minute or just not show up!

So, here it is….. Please note that by confirming your booking with us you are accepting our policies as stated here.

Group Meals/Take Away Muffins/Cakes

Once ordered, Group Meals/Take Away Muffins/Cakes to accompany pottery activities must be cancelled/altered at least 48 hours before the start of your booked activity. If you cancel/reduce the number of people wanting food in your party within 48 hours of the start of your booked activity, we reserve the right to charge the full cost of any food bought in specifically for your group & any time preparing food.

If you/a person in your party/your whole party do not show up or don’t want their booked food on the day of your booked activity, we reserve the right to charge the full agreed cost for the unattended/unwanted food bookings.

Pottery Painting

If you cancel/reduce the numbers of people in your booking less than 24 hours before the start of your booking or you or anyone in your party just don’t show up, we reserve the right to charge £6.50 per place cancelled/unattended. If you have paid in advance, we will refund the cost of any pottery items and delivery minus £6.50 per place booked.

Pottery Trial Classes

If you cancel within 24 hours of the start of your class or you/a person in your party/your whole party does not show up for your class/workshop on the day, we reserve the right to charge 50% of the total cost of the places cancelled/unattended. If you have paid in advance, you will only be entitled to a 50% refund for places cancelled/unattended.

Wheel Throwing Workshops

If you cancel within 72 hours of start of your workshop, or you/a person in your party/your whole party does not show up for your class/workshop on the day, we reserve the right to charge 50% of the total cost of the places cancelled/unattended. If you have paid in advance, you will only be entitled to a 50% refund for places cancelled/unattended.

Larger Parties, Celebrations & Corporate Events

If you have booked a Party, Celebration or Corporate Event with us which combines pottery activities and food and you cancel/reduce numbers in your group within 72 hours of the start of your activity (or you/a person in your party/your whole party doesn’t show up on the day), we reserve the right to charge 50% of the per person agreed price for each unattended place. If you have paid in advance, you will only be entitled to a 50% refund for places cancelled/unattended.

Special Events

If you have ordered food in relation to one of our special events then our Group Meal/Take-away Muffins/Cakes Cancellation Policy will apply (see above).

If you have booked an activity with us and cancel/reduce numbers in your group within 24 hours (or 72 hours if the activity also includes food) of the start of your activity (or you/a person in your party/your whole party doesn’t show up on the day), we reserve the right to charge 50% of the published activity cost or agreed price. If you have paid in advance, you will only be entitled to a 50% refund for places cancelled/unattended.

Longer Pottery Courses

If you cancel within a week of the start of your longer pottery courses, we reserve the right to charge 50% the cost of your place. If you have paid in advance, you will only be entitled to a 50% refund for places cancelled/unattended.

Creative Breaks

If you are booked with us for a creative break and you cancel/reduce numbers or you/a person in your party/your whole party don’t show up for your pottery activities/food bookings then our policies as above will apply.

If you cancel a creative break then our accommodation TERMS & CONDITIONS for The House of Bread will also apply.

Charity Work/Venue Hire

If we are running a Charity Event for your or you are Hiring our Venue for your own uses then we require at least 1 week notice of cancellation otherwise full payment as agreed will be required.

If We Cancel Your Activity/Food

If WE cancel your place or cannot run your class/activity or provide you with the food you ordered we will let you know as soon as possible and either re-book your for a future date or refund any monies you have paid in full.
